Access Level History

This guide outlines how to view and filter access level changes in your account, as these changes are not recorded in standard or custom reports. Users can navigate to Settings > Access Levels and select History to access the report. The guide includes a table of contents with sections on Access Level History, Filters, and Exporting permissions and assignments. Filters allow users to view changes by timeline, specific access levels, authors, and actions taken. Users can also export access level permissions and assignments in Excel or CSV formats, though the export does not include access level history. This resource is available in Core, Pro, and Elite packages.

Purpose: Access level changes are not tracked in any standard or custom reports. This help guide will show you how to view and filter access level changes made in your account.

To access this report, navigate to Settings > Access Levels. Once you are on the All view, select History.

Filters

Timeline

Access Level History

This date filter allows you to see all changes within a specific timeframe. Currently, your timeframe only includes dates from within the past 13 months. If you select See Details you will see a modal that shows the specific changes that were made.

Use this filter to see changes to a specific access level. If you select See Details you will see a modal that shows the specific changes that were made.

Author (who made the change)

Access Level History

To view changes made by a specific person, enter their name in the text box. If you select See Details you will see a modal that shows the specific changes that were made.

Actions

Access Level History

Filter access level history by when an access level was created, deleted, or edited or when an employee was added or removed from an access level. If you select See Details, you will see a modal that shows the specific changes that were made.

If you need to find what an employee's access level was before their termination, set the timeline as of their termination date and select Person Removed. The results will then be filtered to show any employees removed from an access level within the selected date range, including the terminated employee.

Export permissions & assignments

In Settings > Access Levels > All, you can export an Excel file or a CSV file of access level permissions or assignments.* 

  1. Access Level Permissions: The downloaded file will include permissions that are set for each access level in your account.
  2. Access Level Assignments: The downloaded file will show which access level is assigned to each employee in your account.
    • If an employee is assigned to multiple access levels, they will have an additional row representing each access level.

*The Export option in Settings > Access Levels does not export access level history (changes to users' access levels).
