Export Services

BambooHR provides four export options for essential data, each available for $150. These include Applicant Tracking System (ATS), Company Files, Employee Documents, and Performance Management exports. Each export allows users to back up data conveniently. Full Admin users can request these exports, which are processed within 48 hours. Exports expire 28 days after delivery. For those interested in BambooHR services, a request form is available for further assistance. Purpose: BambooHR is happy to offer four export options for common data points that are commonly requested. Exports are a great way for you to back up key data points locally. We have pre-formatted options for you to choose from for export.

Available export options

Applicant Tracking (ATS)

This export includes all candidate information (resumes, cover letters, attachments, etc.) currently housed in the Hiring feature of BambooHR. This export is available for those needing the information from the Hiring tab. This data package is available for $150. 

When this data export is requested, the Full Admin recipient will receive a .zip file containing the following items:

  • CSV file with candidate data for each job opening, including both open and inactive job openings
  • CSV file with all custom questions and answers
  • CSV file of all comments made on candidate profiles, including candidate and commenter names, comments, dates of comments
    • The Candidates Comments file will show status change information, along with any comments on the candidate profile and the effective dates.
  • CSV file showing a list of all candidates and the file names of their application materials
  • All resumes, cover letters, attachments from the Notes tab, signed offer letters for hired employees, and other submissions received for each job opening (includes a separate folder for each job opening)

Deleted candidate information and email correspondence with all candidates are unavailable for export.

Company Files

This export contains all the files that are found on your Files tab. You can use this export to back up your company files. This data export is available for $150.

Files

Self-service option: While we are happy to prepare these file exports for you, a Full Admin user can retrieve Company File exports from your account for free through the Files tab. Use the Select All option to select the files that you would like to download. Then, select the download icon to download all selected files.

When this data export is requested, the Full Admin recipient will receive a .zip file containing the following information:

  • All Files found on the Files tab
    • Please note that the export is sorted by file name. Subfiles that have been added to your account do not sort in the export.
    • E-signature templates are not included in the export. Only the original files used to create the templates are exported.*

*Completed e-signatures are available in the Employee Documents export.

Employee Documents

This export contains information from your employees' Documents tab on the employee profile. This export is great for creating backups of all your employees' files. This data export is available for $150. 

When this data export is requested, the Full Admin recipient will receive a .zip file containing the following information:

  • All documents found on the employees' Documents tab (active and inactive employees)
  • Any file attachments saved to the Documents tab

The Employee Documents export is sorted by EEID. The EEID is separate from the employee # and is a calculated field that is used internally. You can view employees' EEIDs by pulling a custom report with the calculated field of "EEID" included.

The number after the employee's name is a count of their employee files. Each file has a unique number. Since this data export is sorted by the EEID, we cannot export the data by subfolder, department, or any other identifier. Export formatting is locked for all customers.

Performance Management

We can export performance data regardless of your subscription status, as long as you had access to and used BambooHR® Performance Management.

This export includes only information from our performance management feature and is available for those needing the information from Performance Management within their account. You can retrieve the Company Performance report and Employee Performance report from your Reports tab. This data package is available for $150. 

When this data export is requested, the Full Admin recipient will receive a .zip file containing the following items:

  • CSV file with assessment data, including review dates, completion dates, follow up notes, standard, and custom questions
  • CSV file with peer feedback data, including completion dates, who gave feedback to who, their manager, and the feedback responses
  • CSV file with goal data creation/completion date, who created it, goal name and description, percentage complete, due date, who it was shared/aligned with, and notes
    • Milestones do not show in the CSV file.
  • Any files attachments within assessments and goals on the Performance tab. If there are no file attachments, this folder will not be included in the export.

How do I request an export?

Reach out to our Support team and let them know what data export you are interested in, and they can get you connected with a professional services specialist.

Who can receive a data export from BambooHR?

Only the Account Owner and any Full Admin users on your account can receive an export. The Professional Services team will need to confirm with the Account Owner before processing the request. Please let us know if your Account Owner is no longer available. Our Support team can work with you to get this updated. 

How long would it take to receive a data export?

Once we receive your payment, data exports will be processed in 48 hours and emailed to the Full Admin users indicated. Please note that due to the nature of the export email, these messages can be routed to your Junk or Spam folders. Please make sure to check there.

If you have still not received your data export email after 48 hours, please let your professional services specialist know so that they can restart the export process. 

How long do I have to download my exported data?

Export packages expire 28 days after they are sent.* Data must be downloaded before the expiration date. 

If you purchased an export, and it has been more than 48 hours since it was sent or your account was billed, please let your professional services specialist know or submit a Support request. 

*Additional exports will be billed as a new service.

We are going to be canceling our BambooHR account, do we still need to pay for these exports? 

If you are planning on leaving BambooHR, please review our cancellation help guide, which outlines what you can expect. Exports are included in your account offboarding. Submitting your cancellation request will trigger the request for your cancellation exports, which will become available in your account after your cancellation submission. 

Please note that all export requests outside of the included cancellation exports are subject to service fees. 

How much do the data exports cost?

  • ATS Export - $150 per export request
  • Performance Export - $150 per export request
  • Employee Documents Export - $150 per export request
  • Company Files Export - $150 per export request

*Please note that we offer discounts if you purchase more than one export at the same time: 1 Export for $150, 2 Exports for $200, 3 Exports for $225, and 4 Exports for $250.

Can I get a data export of my employee profile data or request a custom export?

At this time, we only offer the four export packages listed in this guide. Custom exports are not offered. If you would like an export of employee profile data from your account, you can use the custom reporting feature to create the specific export that you need. Those will need to be generated by someone with access to the data and custom reporting. Typically, a Full Admin user is the best option for creating these.
