Export Employee and Candidate Data

This feature is included in the Core, Pro, and Elite packages.

Purpose: We understand that sometimes you need the same employee data in different systems and thus need a quick way to get employee information from one system to the other. This guide will walk you through the quickest ways to export employee and candidate data.

Keep in mind that all of your data is automatically backed up nightly in at least two distinct availability zones, so rest assured that your data is secure with us. For more information about your data’s security, go here. Additionally, if you are exporting data for another coworker to review, you could consider using our report-sharing feature to keep your data within BambooHR.

Export employee profile information

To export employee information, you can create and download reports. 

Reports

Go to the Reports tab > Standard Reports. Then, open an applicable report and click the three-dot menu in the top right corner to select your desired format.

Job Information

If the standard reports do not have the data you need, you can create a custom report that you can export. You can even utilize the filters on a custom report if you only need to export the information for a subset of your employees. There are also several calculated fields that you can add to reports if you find them helpful.

After you create the custom report, click on the three-dot icon, and then select a format for export.

The quickest way to export employee documents is to go to an employee’s Documents tab. Click the download icon to the right and then select Download All Documents. All of the documents for that specific employee will get saved in a compressed .zip folder.

You can use the Previous and Next buttons in the top right corner to move to the next employee profile to repeat this process for each applicable employee.

To export data under the Files tab, click on the Files tab and then check the box next to “Select All Files.” You can individually check the boxes next to each file if you only need certain files. If you select multiple files, all selected files will get saved in a compressed .zip folder.

Export candidate data

Exporting very large amounts of ATS data (e.g., all candidates across all job openings) may cause the export to fail or return an error. To avoid this, we recommend exporting data in smaller batches.

Export candidate information

Go to the Hiring tab and click Job Openings. In the top right corner, click on the download button. This will download the following information for all candidates under all job openings.

  • Current Status

You can also export the above information for all candidates under a specific job opening. To do so, go to the Hiring tab and click Job Openings, and then select the applicable job opening. Click on the bar graph button and select Export Job Data.

Export candidate resumes, offer letters, and attached documents

For candidates that you hired and added to BambooHR through the Hiring tab, you can find their resumes, offer letters, and attached documents under their Documents tab > Resumes and Applications folder. In this case, you can follow the steps in the section above called “Export Employee Documents and Files.”

However, if you need to export the documents for a candidate you did not hire, you will need to download these files individually when viewing the candidate.

To export a signed offer letter, go to the candidate’s profile, select See Signed Offer, and then click on the download button.

To download a candidate’s resume, go to their candidate profile and click on the download button above the resume.

If you would like to download attachments from any comments or emails, you can do so by going to the respective tabs on the candidate profile. Select an attachment and click on the download button.

Export hiring reports

You can find additional insights about your hiring process and candidates in the hiring standard reports. If needed, you can export each of these reports by going to the Reports tab > Standard Reports. Click on the applicable reports, select the three-dot icon in the top right corner, and then choose the format you prefer.
