Fill in the information for Cycle Details, Cycle Name, Compensation Types, Cycle Dates, Cycle Window, Due Dates, and Currency.

Select the currency you want to use for converting all compensation amounts during the Compensation Cycle. This currency will be used for planning purposes. Once the cycle is finished and you have made the changes, the system will convert the compensation amounts back into the native currency and save them to the employee profile. You can either use the default exchange rate values, which are updated daily, or set a specific exchange rate you prefer.

When finished, click Create Comp Cycle to create your new cycle. You will then see your new cycle in the Compensation Planning list.

Compensation administrators have control and precision when building a planning cycle, saving them valuable time and effort. Instead of managing a list that includes every employee, you can now quickly create focused cycles for specific departments, divisions, or locations with just a few clicks.

In the Create a Compensation Cycle flow, navigate to the Employees tab. The initial screen will show that no employees are in the cycle. Click Add Employees to open the employee selection tool.

In the modal, search for and select the desired employees to add to the cycle.

Once added, employees will appear in a list on the Employees tab. To remove an employee, select the checkbox next to their name and click the trash can icon. A confirmation pop-up will not appear because employees can easily be added back to the cycle.

If no employees are added, an error will show on the Compensation Planning Summary page.

On the Compensation Planning Cycles overview page, the Employees Included column will display the number of employees included in the cycle.

Access to the Compensation Planning tool is seamless and role-specific. When included in an active compensation approval flow (as a recommender or approver), users automatically gain temporary, dynamic access. This behind-the-scenes permission provides the necessary access to perform duties for assigned employees, including viewing relevant compensation information within the worksheet and on the employee profile, such as job information, compensation, and performance scores.

This ensures they have a complete picture to make informed decisions, even if they do not typically have access to all this sensitive data. The Planning tab appears only when a user has active permissions for a cycle. Currently, these dynamic permissions are automatically removed, and the tab disappears once the cycle is completed.

When selecting your approval flows, you will first want to filter your compensation information using the Group By dropdown and settings icon. From here, you can filter by Department, Location, Division, or Job Title and then add a final approver, remove an approver, or reset all flows.

On each employee line item, you can add additional recommenders/approvers, remove a recommender, or swap a recommender for each approval workflow. Click the three-dot button to select the specific action from the dropdown menus.

Use the Budget tab to add your salary information. Under Salary Guidelines section, you can add budget guidelines to your compensation worksheet to keep the recommendations within the overall budget. Select Use Guidelines to add soft guidelines for minimum and maximum increases. These will guidelines will warn a user if they enter a salary recommendation that is outside the preferred range (they can still proceed with the recommendation).

When creating a new compensation cycle you will need to input certain information in order to send and complete the cycle. Here you will need to confirm the type of compensation before you can finish the budget section. Clicking View Details Tab will take you to the Details & Currency section to fill out the type of compensation.

When the compensation details page is set, you can now use the Budget Breakdown tab to set the budgets for the individual compensation planners (both recommenders and approvers) that will show on their compensation worksheets. The information will automatically save when added.

If you prefer to import or export your compensation budget information, you can use the Import Budget and Export Budget buttons to do so.

1. Import Budget: Click Import Budget to import your budget, eliminating the need for manual entry.
2. Export Budget: Click Export Budget to export your compensation budgets.
3. Reset All: Click Reset All to reset all the listed budgets simultaneously.

If you are importing your budget, you will need to download and fill in the template. Unlike some of the BambooHR importers, this importer is a dynamic CSV. This template will only show the employees listed in the compensation cycle who need budgets added.

If you are importing data where there is already compensation information, you will see a banner informing you that the new import upload will overwrite existing budgets.

Once the information is uploaded, you will be brought to the data cleaner step to fix any errors. Errors will be highlighted in red. When all errors are fixed, the Import Budget button will go from grey to green, and you can move on to the next step in the cycle.

When the compensation planner clicks the "Send Change Communication Email" button on the worksheet this is where they will configure and edit that email.

This step helps prepare the communication for the letters that employees will receive about their compensation changes. Edit the Email Subject and Message. Use the Compensation Placeholders to autofill employee information. Please note that there is one template used for all employees that is not customizable by group.

Use the Summary step to review all Compensation Cycle information. When ready, click Launch Compensation Cycle to launch your new cycle. If there are any errors with the cycle, you will need to fix them before continuing to launch your cycle. Click into each text box to directly fix the issue(s).

A confirmation modal will appear to double-confirm the changes. Please note, once you click Launch Comp Cycle you will not be able to make any edits to the cycle.

Once you launch your comp cycle, you'll see a green confirmation banner with the cycle details. Click Go to Comp Worksheet to review the worksheet.

The View All tab, available to all compensation planning admins for all cycles, shows all the approval chains and worksheets. This allows comp planning admins to always know the progress of a cycle and what has been done.

The View All tab allows comp planning admins to view information only, without making edits. However, comp planning admins can still click the "Review and Publish the Comp Cycle" and "Send the Change Communication Email" buttons as they normally would.

The system disables Budget, Additions, and Left in Budget in the summary bar because comp planning admins, who are viewing the whole cycle, do not have a budget and are not making changes.

If the comp planning admin navigates to their recommendations or approvals tab (if available), they will still have their normal budget access.

When comp planning admins access this view, a dismissible banner will appear. They can also export the worksheets to CSV and view the cycle settings.

Please note the following:

• If an admin has direct reports, they will see the Recommendations tab.
• If an admin is part of an approval chain as an approver, they will see the Approvals tab.
• Admins will always see the View All tab to assist with the comp cycle.
