Before you start

Before setting up Meal and Rest Break Tracking:

  1. Time & Attendance must be set up for your account.
  2. Employees must use Start/End time entry. Total hours worked entry types are not supported for break tracking.
  3. Custom access level users must have either Settings > Time & Attendance access or the Manage Meal and Rest Breaks permission.
  4. Employees must be assigned to a time & attendance policy to see break options.

How meal and rest break tracking works

Meal and Rest Break Tracking records the actual start and end timestamps for each break an employee takes. Each break is evaluated against the rules you define in the policy, and the system determines whether the break is compliant or a violation.

Important behavior to understand:

  • Each configured break represents one discrete break opportunity, not a repeating rule.
    • This means if you wanted employees to take a break every two hours, you would need to create a break eligible after 2 hours, another after 4 hours, and so on.
  • Breaks do not automatically reset or repeat based on hours worked.
  • Employees can be assigned to multiple break policies and can have multiple breaks within a single policy.
    • The system will not recognize duplicate breaks (breaks with the same rules at the same time). Employees assigned to two of the same break would be able to take that break twice.
  • Manual break edits (completed by admins or employees) require notes and are logged in Timesheet Change History.
Setting up meal and rest breaks

Step 1: Enable and access break settings

  1. Go to Settings > Time & Attendance.
  2. Open the Meal and Rest Breaks section.
  3. Confirm you have permission to add or edit break policies.

Step 2: Create or edit a break policy

Tip: When assigning employees to a break policy, choose Only specific employees and filter by time & attendance group so you aren't accidentally assigning users with other time tracking methods. While you can assign anyone with time tracking enabled to a break policy, only those with Start & End Times can use Break Tracking.

  1. In Time & Attendance settings, select Meal & Rest Breaks.
  2. Select Add Break Policy or click the action menu to edit an existing policy.
  3. Configure the Policy Info:
    1. Name & Description
    2. Eligible employees
  4. Determine the Breaks In This Policy:
    1. Break Name
    2. Type (Paid or Unpaid)
    3. Duration (in minutes)
    4. Availability rules, such as:
      • Anytime
      • Time of Day
        • From: Set the earliest time of day when the employee can start their break.
        • To: Set the latest time of day when the employee can end their break.
      • Hours Worked
        • Available After: Determine how many hours the employee must work before the break becomes available.
        • Start Within: Determine the maximum amount of time an employee can work before starting this break. If the employee starts the break after the determined amount of time, it will be flagged as a "Late Start" violation.
  5. Save the policy.

Each break you add applies once per day based on the configured eligibility window. If you require multiple breaks (for example, multiple rest breaks in a long shift), you must add each break separately.

To create a custom meal and rest break report

In custom reporting, you can find meal and rest break information under the Time Tracking section. This is because Time & Attendance includes both time tracking and shift scheduling information. Currently, there are no shift scheduling fields available for custom reporting.

Creating a custom report is a great way to review mean and rest break data on a break-by-break or violation-by-violation basis.

  1. Navigate to Reports > New Custom Reports.
  2. Click + New Report.
  3. Give the report a name, then click Fields.
  4. Under the Time Tracking section, add your desired fields.
  5. Filter, Sort, and Group your data.
Using your custom report

The column headers in the image below have been edited to best fit the screen. When adding fields to your own custom report, these fields will appear as "Break Assessment: [Field Name]".

  1. Once you've created your custom report, review the results:
    • Each row represents a single recorded break.
    • Date and employee name fields show when and who the break applies to.
    • Duration and difference fields show whether the break met the required length.
    • Violation fields indicate late, early, short, or missed breaks.
  2. Adjust filters as needed:
    • Filter by date.
    • Filter by violation type to focus on missed or short breaks.
  3. Sort or group data to spot trends:
    • Group by employee to identify repeat violations.
    • Sort by violation type or duration difference.
  4. Click Export  (the down arrow) to download the report for record keeping, audits, or manual calculations.
Reviewing break information on employee timesheets

Break information, like all clocking entries, are viewed and managed on the timesheet tab.

To review break information on an employee's timesheet:

  1. Navigate to the employee's timesheet tab.
  2. Verify you're viewing the correct pay period.
  3. Click on a day to expand the entries.
Violation flags
1. Started Early

If an employee tries to start a break before the eligible start time, a "Heads Up" warning will appear. The employee can choose to proceed with the break or cancel the action. At this time, there is no option to prevent employees from starting a break outside of the designated time window.

2. Started Late

If an employee starts a break after the eligibility window has closed, BambooHR will still allow the break to begin without displaying a warning. However, the violation will be recorded on the employees timesheet and reflected in custom reports.

3. Ended Early

If the employee tries to end a break before the allotted duration has been met, BambooHR will display an "Are you sure?" warning. The employee can choose to end the break anyway or cancel the action.

4. Ended Late

If an employee's break runs past the allotted duration, a "Times Up" icon will appear on the My Time widget and timesheet. The icon appears green once the scheduled break duration has passed and turns red if the break exceeds more than twice the allotted duration.

When the red icon appears, the "Verify & End Break" modal will open, allowing the employee to verify their break time. If the employee does not have Edit access to their timesheet, they will need to contact an administrator to make any necessary corrections.

5. Missed

If an employee works the required amount of time to be eligible for a break but does not record any break time, no notification will appear. The missed break will be recorded in custom reports.

For breaks that can be taken anytime, the employee must log at least 3 hours in the day before we flag the break as missed.

Frequently asked questions

1. Can I find break information in reports?

Yes!

  1. Create a custom time & attendance report to look specifically at break violation data.
  2. Use the Timesheet Entries report includes break clocking activities and notes.
  3. Use the Audit Trail to review edits and manual entries.
2. Will administrators be notified of break violations?

BambooHR will not send notifications when violations occur. To review this information daily, we recommend creating a custom report and setting the Date filter to "today".

3. Does meal and rest break tracking comply with California's break requirements?

The meal and rest break tracking feature does not naturally support all of California' break requirements.

The feature complies by:

  • Tracking actual start/end timestamps
  • Providing configurable timing rules for eligibility windows
  • Detecting and surfacing all violation types (late, early, short, missed)
  • Providing an audit log
  • Reporting break-by-break compliance analysis with custom reporting

The feature does not automatically comply in the following areas:

  • No California premium pay calculation
  • No max-per-day penalty
  • No payroll integration
  • No break waivers
  • No enforcement of "middle of work period" rest break placement
4. How can I achieve interim California break tracking compliance?

BambooHR is not responsible for maintaining meal and break compliance. If you choose to use BambooHR Time & Attendance for this purpose, you can do the following:

  1. Configure your own California-like rules in break policies
  2. Use and monitor the break violation fields in custom reporting
  3. Export reporting data to a spreadsheet
  4. Calculate penalties manually
  5. Enter premiums manually into payroll
5. How do meal and rest breaks work with overnight shifts?

Meal and Rest Break Tracking continues to follow the configured break-eligibility rules, even when overnight scheduling is configured with consecutive midnight-boundary.

If you configure a break using the “hours worked” method, the worked-time calculation resets when the second overnight shift begins at midnight.

For example:

  • An employee clocks in at 10:00 PM.
  • Their overnight schedule is split into two shifts:
    • 10:00 PM–12:00 AM
    • 12:00 AM–6:00 AM
  • A meal break is configured to become available after 4 hours worked.

Although the employee has technically worked continuously since 10:00 PM, the second shift begins at 12:00 AM and resets the worked-time calculation for break eligibility. As a result, the break will not become available until 4:00 AM.

If you need breaks to become available during a specific overnight window regardless of shift boundaries, consider using the "Time of Day" configuration instead of "Hours Worked".

6. Do break times contribute to the daily total shown on the My Time widget?

It depends. The Today total includes time clocked in at any point during the 12:00 AM-11:59 PM window and any time spent on paid breaks. Unpaid breaks are not reflected in the Today total.
