How do I set up shift scheduling in BambooHR Time & Attendance?

Who this is for

This guide is for employees who are assigned to a shift schedule in BambooHR.

What you need to know

Before you use Shift Scheduling, keep the following in mind:

  • You do not need to set up anything yourself to view shifts.
  • An admin or manager must assign you to a schedule.
  • Your manager must publish your shifts before you can see them.
  • You can only view your own published shifts.
  • You cannot create, edit, swap, or claim shifts.

Where to find your shifts

Finding shifts on the web

You can find your shift information in two places using the web version of BambooHR:

  1. The Home page My Time widget
  2. Your employee profile timesheet breakdown

In both places, you will find information about your next shift and a link to see your full schedule.

Finding shifts on mobile

You can view your shift information in the BambooHR mobile app from:

  1. The Home page > My Time widget
  2. My Info > Timesheet

In both places, you can view information about your next shift and open your schedule to review additional published shifts.

Finding shifts on the BambooHR Time Kiosk

You can view your shift information on the BambooHR Time Kiosk after signing in with your clock-in ID.

After signing in, the kiosk dashboard displays information about your next scheduled shift. To view additional published shifts, select View My Schedule.

The schedule view displays your assigned published shifts and may include shift names, dates, and times.

Finding shifts on BambooHR Time Clocks

Time Clock

To view your schedule:

  1. Authenticate at the time clock (badge scan, keypad ID, or fingerprint scan).
  2. Select Self Service (F7).
  3. Select View Schedules (F1).
  4. Use the arrows to scroll through future shifts.

Time Clock Plus

To view your schedule:

  1. Authenticates at the time clock plus (badge scan, keypad ID, facial recognition, or fingerprint scan).
  2. Tap Self Service.
  3. Tap View Schedules.
  4. View the date, start time, end time, and shift name of your upcoming schedule.

Frequently asked questions

1. Why does the My Time widget say Clock in (Unscheduled)?
1.If the clock says "Clock in (Unscheduled)", you can still clock in, but you are not within the scheduled time window of your shift.2.If the clock says "Starts in # minutes", you can clock in. You are within the scheduled time window of your shift.

Some companies allow employees to clock in at any time, even if it is technically outside your scheduled shift window. If you clock in outside your scheduled shift window, you will see the "Clock in (Unscheduled)" button. Once you are within the grace period for clocking in (this differs from company-to-company), the button will change to "Starts in #h #m".

 

2. Why is the clock in button grayed out on the My Time widget?
In this image, the company has a grace period of 10 minutes before the shift starts. The grayed-out button tells you that your shift starts soon, but does not turn green until you are within 10 minutes of your scheduled shift.

Some companies only allow employees to clock in once their shift has begun, while others employ a "grace period" that allows employees to clock in a few minutes early. If your company does not use a grace period, the clock in button will become actionable when your shift begins. If your company does use a grace period, the button will become actionable once you are within.

In the example above, the company has a grace period of 15 minutes before the shift starts. The grayed-out button tells you that your shift starts soon, but does not turn green until you are within 15 minutes of your scheduled shift.

3. Why can I not see my shift?

You may not be assigned to a schedule yet, or your manager may not have published your shift. Employees can only see published shifts.

4. Can I change my shifts?

At this time, schedules are read-only for employees. You cannot edit, delete, claim, or swap shifts in our initial release of BambooHR Shift Scheduling.

5. Where do I find my full schedule?

Web: Click Schedule from the Home page My Time widget or on the Timesheet tab in the summary section.

Mobile: From the Home or My Info tab, click Schedule.

Kiosk: Enter your clock-in ID and click View My Schedule.

6. Why can I not clock in yet?

Your company's scheduling and time tracking rules may not allow clock-in yet. You may see countdown messaging until clock-in becomes available.

7. Why am I not assigned to a shift schedule?

Shift Scheduling is available to employees who have been assigned published shifts in BambooHR.

If you do not see schedule information, you may not have been assigned to a schedule yet, or your manager may not have published your shifts. Contact your manager or administrator if you believe you should have access to a schedule.
