What forms can I download for employees?

Purpose: To show you how to download forms for your employees with auto-filled basic employee information, making it quicker and easier for your employees to complete those forms.

Please note: BambooHR only supports the U.S. version of these forms. If you are located in a different country or need to offer a different version of these forms, check out our e-signature feature!

The Download Forms feature in BambooHR streamlines tax form preparation by allowing you to select specific employees and generate pre-filled W-4, I-9, or 1095-C forms. Leveraging existing employee data within BambooHR, such as address and social security number, the system automatically populates the chosen forms. Once generated, you receive a convenient, fillable PDF document (or individual PDFs per employee, if selected) that you can then distribute to your employees outside of the BambooHR platform. Employees can easily complete any remaining fields electronically within the PDF.

Navigate to the People tab and ensure you are on the List view. Then, click the three-dot action menu to select Download Forms.

  1. Select the employees: Double click on an employee's name to move them over to the Selected Employees area. Or, click on a name and click > to move them over. Do not forget to use filter options if you need to select employees from a specific department, division, location, etc.
  2. Select the forms: Check the box(es) next to the desired form(s): W-4, I-9, and 1095-C.
  3. How would you like to download the forms?: Choose between downloading the form(s) for all selected employees into one file or separate files for each employee.
  4. Generate: Click to start downloading the form(s).

Hold down the Ctrl key on your keyboard while clicking on the applicable names to select multiple employees at once. Another option is to click on the first employee's name and then press and hold down the Shift key on your keyboard while clicking on a name lower in the list to select a block of employees.
